Calendar Feeds

Before You Start

Before subscribing to a calendar feed, make sure you have:

  • Event access — you must be registered for an event or have access to its schedule to get a feed URL.

Never miss a session — subscribe to your event's schedule in Google Calendar, Outlook, or Apple Calendar and see every talk, workshop, and networking event right alongside your regular calendar.

Use the organizer-provided calendar feed option for your event. Some individual session pages also offer one-off calendar downloads.

What gets included

Your calendar feed contains all the scheduled sessions, talks, and activities from the event. Each calendar entry includes:

  • Title — the session or talk name.
  • Time and date — start and end times in your local timezone.
  • Location — the room or space where it is happening.
  • Description — session details, when available.

As the event organizer updates the schedule — moving a talk to a different time, adding a new session, or cancelling one — those changes flow through to your calendar automatically.

How to get your feed URL

  1. Navigate to your event page in ema.
  2. Look for the organizer-provided calendar feed option.
  3. Click it to copy your personal feed URL.
Keep your URL private

Your feed URL contains a personal authentication token, so your calendar app can fetch the schedule without requiring you to log in. Anyone with this link can see your schedule, so treat it like a password.

Adding a Single Session or Talk

Some public session and talk pages offer a Calendar or Add to Calendar button. This downloads a one-off calendar file for that item only.

Use this when you want to add one session or talk to your calendar without subscribing to the full event schedule. One-off calendar files do not update automatically if the organizer later changes the schedule.

Subscribing in Google Calendar

  1. Open Google Calendar in your browser.
  2. In the left sidebar, find Other calendars and click the + button next to it.
  3. Select From URL.
  4. Paste the feed URL you copied from ema.
  5. Click Add calendar.

Your event schedule appears as a new calendar in the left sidebar. Google Calendar typically refreshes subscribed calendars every few hours.

Subscribing in Apple Calendar

On a Mac

  1. Open the Calendar app.
  2. Go to File > New Calendar Subscription in the menu bar.
  3. Paste the feed URL and click Subscribe.
  4. Choose how often to refresh (every 5 minutes, every hour, etc.) and click OK.

On iPhone or iPad

  1. Open Settings > Calendar > Accounts > Add Account.
  2. Tap Other, then Add Subscribed Calendar.
  3. Paste the feed URL and tap Next.
  4. Confirm the settings and tap Save.

Subscribing in Microsoft Outlook

Outlook on the web

  1. Go to Outlook Calendar and sign in.
  2. Click Add calendar in the left sidebar.
  3. Select Subscribe from web.
  4. Paste the feed URL and give the calendar a name (for example, "Tech Summit 2026").
  5. Click Import.

Outlook desktop app

  1. Open Outlook and switch to the calendar view.
  2. Click Add Calendar > From Internet (or Subscribe from web depending on your version).
  3. Paste the feed URL and confirm.

How often does it update?

Calendar apps refresh subscribed feeds on their own schedule — typically every 30 minutes to a few hours, depending on the app. You do not need to re-subscribe when the event schedule changes; updates arrive automatically.

If you need to see the very latest changes immediately, some apps let you force a refresh:

  • Google Calendar — there is no manual refresh option; it updates on its own schedule (usually within a few hours).
  • Apple Calendar — right-click the calendar in the sidebar and select Refresh.
  • Outlook — close and reopen the calendar, or click the Send/Receive button.

Troubleshooting

  • Schedule changes are not showing up. Give it up to 30 minutes for most calendar apps to pick up changes. If it has been longer, try removing and re-adding the subscription.
  • Times look wrong. Check that your calendar app is set to the correct timezone. ema sends events with timezone information, but your calendar app needs to interpret it correctly.
  • Calendar subscription is not working at all. Make sure you copied the full URL — it is long and easy to accidentally truncate. Try pasting it in a browser first to confirm it loads.
  • You need to revoke access. Generate a new feed URL from your event page in ema. The old URL will stop working immediately.

Good to know

  • Calendar subscriptions are read-only. If you edit an event in your calendar app (changing the time, adding notes), those changes stay local to your calendar and do not sync back to ema.
  • Each feed URL is personal. If you share it with someone else, they will see your schedule but will not be able to make changes.
  • If you are attending multiple events managed in ema, each one has its own feed URL — subscribe to each separately.
