Calendar Meetings

Calendar Meetings shows the meetings you organised or were invited to that have been synced from your work calendar. Where a meeting was recorded, you can read the transcript and the notes generated from it — so if you missed a call, or cannot remember what was agreed, the answer is here rather than in someone else's inbox.

This page is read-only. Nothing you do here changes the meeting, and nothing here is visible to anyone who was not already in the meeting.

Before You Start

Before using this page, make sure:

  • Your work calendar is connected to ema — meetings appear here only once your organisation's calendar sync is set up. If the list is empty and you expect meetings, ask your event team.
  • You were the organiser or an invitee — you only ever see meetings you were part of.

What You See

A list of your meetings, most recent first, each showing its subject, the project it belongs to, and its date and time in that project's time zone. Badges tell you at a glance whether a meeting was Cancelled, whether it has a Transcript, and whether it has Notes. Use Previous and Next at the bottom to move through longer histories.

When and Where

The date and full time range, shown in the project's time zone so it matches everyone else's copy of the meeting. All-day meetings simply say so. If the meeting was online, Join online meeting opens the call — unless it was cancelled, in which case a notice replaces the link rather than sending you to a dead meeting.

Who Was There

Everyone on the invitation, with the organiser marked. Some organisers choose to hide the attendee list; when they have, the page says so instead of showing a blank section.

Transcript

If the meeting was recorded and transcribed, the full transcript appears with speaker labels. This is the meeting's own words — useful when you need the exact phrasing of a commitment rather than a summary of it.

Notes

Where ema has generated notes from the transcript, you get a summary of what the meeting covered, the key topics, the decisions that were made, and the overall tone of the conversation.

If a meeting has a transcript but no notes yet, the page tells you what is happening — that they are not ready yet, or that generation did not succeed. There is nothing for you to do either way; notes are generated by the event team's settings, not on request from this page.

Notes are a starting point, not a record

Notes are produced automatically from the transcript and can misread a hypothetical as a decision. Check the transcript before relying on a note for anything that matters, and raise anything that looks wrong with the meeting organiser.

Catching up on a meeting you missed

A committee member is double-booked and misses the programme planning call. The next morning they open Calendar Meetings, find the meeting, read the summary to get the shape of the discussion, then search the transcript for their own name to find the one item that was assigned to them.

Something wrong with a meeting record?

You cannot edit anything here. If the attendee list is wrong, the transcript has the wrong speaker against a line, or a note misrepresents a decision, contact the meeting organiser — they can correct it from the project's own meetings area.
