Requesting a Session

Ask the programme office for a meeting, workshop, breakfast or another session offered by your event. Your request keeps the requirements, review messages and any quote together under one reference.

Before You Start

Sign in to your own account. The event must offer session requests and have intake open. Only its active public request types are offered to you; the programme office can explain any private arrangement.

Where to Find It

Me > Session Requests

You can also use the event's Request a session link, then sign in to continue.

Ask for an association breakfast

You need a breakfast meeting for 80 people. Save two preferred morning windows, the room setup, catering and microphones. After the office asks for a contact correction, update the same request and resubmit rather than starting a second request.

Prepare Your Draft

Choose the event and request type. Work through the request details: title and description, organisation and contacts, attendance, duration, room setup and ranked preferred times. Add catering, AV, facilitators, onsite contact and billing details as needed. You can save partial answers to that type's custom questions while preparing the draft; all required answers must be complete before submission.

Use event-local times for your preferred windows. A preference asks for a slot; it does not reserve the room or guarantee that time. Tell the office about accessibility, dietary or other practical requirements in the relevant fields.

Keep the draft's reference so you can identify it when contacting the office. A draft is not a submitted request. Before leaving, confirm the save has finished; returning to the request should show your saved information.

Submit and Follow Review

Review the complete request, provide a name, email, organisation, positive attendance and at least one preferred time window, and accept the terms when the event requires them. Answer all required custom questions before submitting.

After submission, follow the status and activity on the same request. You can edit while it is Draft or Changes Requested. When the programme office asks for changes, read the reason, amend the request and resubmit. You cannot edit submitted or under-review requirements yourself; contact the office if something urgent changes.

What you can read

Your page shows your request details, status, review reasons, relevant activity and a quote when it has been sent. The programme office's internal notes and internal conversations are not part of your view. Another person's request is not available through your account.

Review a Quote

If a quote is sent, check each description, quantity, tax, currency and total, together with its Valid until date. Choose Accept quote only when you agree. An expired or superseded quote cannot be accepted; ask the office for a current one. Meaningful saved requirement or price changes supersede a sent or accepted quote. An unchanged save retains acceptance, but sending the quote again renews it and requires you to accept again.

Commercial Impact

Accepting a quote records your agreement to the offered price. It does not make a payment, create an invoice or approve your session. Wait for approval and the confirmed room and schedule before treating the request as booked.

After approval, read the confirmed details. If the programme office later changes the linked room or time, the request's activity and schedule message identify the change.

Cancel or Ask for Help

You can cancel your own request before a final decision. If an approved request offers cancellation, review that action carefully; the event controls whether requesters may cancel after approval. When the action is unavailable, contact the programme office with your reference.

A declined or cancelled request stays in your history

Read the reason on the request rather than editing a final decision. Contact the programme office if you need a different arrangement.

Check Your Work

  • Reopen a saved draft and confirm your details and preferences.
  • After submitting or resubmitting, check the submitted status and activity.
  • Before accepting a quote, confirm the total and expiry shown on the current request.
  • After approval, check the confirmed room and time rather than relying on your original preference.
