Exhibitor entitlements
Sponsorship packages in ema are built from three pieces: tiers (the levels), entitlement definitions (the reusable benefits), and tier entitlements (the quantities assigned to each tier). Add-ons let exhibitors purchase extras beyond what their tier includes.
Understanding this structure helps you configure packages that ema can enforce automatically — rather than managing benefit fulfilment by hand.
Tiers
A tier is a sponsorship level: Platinum, Gold, Silver, Bronze, or any labels your event uses. Tiers order and categorize exhibitors. They control priority in the attendee directory, floor plan positioning rules, and which benefits an exhibitor receives.
Each exhibitor is assigned one tier. That tier determines their default entitlement set.
Entitlement definitions
An entitlement definition is a reusable benefit template. You create it once at the project level, then assign it (with a quantity) to one or more tiers.
Examples of entitlement definitions:
| Definition | What it tracks |
|---|---|
| Staff registration passes | A quantity of complimentary registrations for exhibitor staff |
| Lead capture seats | Licences for the badge-scanning / lead retrieval tool |
| Meeting slots | The number of meetings the exhibitor can book with attendees |
| Featured directory listing | Whether the exhibitor appears in the Featured section |
| Hosted session inclusion | Whether the exhibitor is included as a session host |
| Banner placement | A physical or digital advertising position |
Definitions are the vocabulary of your package. Tier entitlements use that vocabulary to say how much of each thing each tier gets.
Tier entitlements
A tier entitlement links a definition to a tier with a quantity. For example:
| Tier | Entitlement | Quantity |
|---|---|---|
| Platinum | Staff passes | 10 |
| Platinum | Lead capture seats | 5 |
| Gold | Staff passes | 5 |
| Gold | Lead capture seats | 2 |
| Silver | Staff passes | 3 |
When an exhibitor's tier is set, ema creates entitlement records for that exhibitor based on this configuration. The exhibitor's self-service portal shows their entitlements and tracks usage against the limits automatically.
Add-ons and upgrades
Not every exhibitor stays at their tier's included quantity. ema supports two mechanisms for going beyond the base package:
Add-ons — additional quantities of an entitlement that an exhibitor can purchase. An add-on is priced and sold through the exhibitor portal's commerce flow. For example, a Gold exhibitor can buy two extra lead capture seats at a set price.
Upgrades — moving an exhibitor from one tier to another. Upgrade paths define which tiers can be upgraded to which, and what the price difference is. An exhibitor or an admin can initiate an upgrade.
Both add-ons and upgrades flow through the financial order and payment system, producing invoices and receipts the same way as any other purchase.
Compliance and fulfilment
Some entitlements require the exhibitor to submit information before the benefit can be delivered — for example, uploading a logo for directory placement, or submitting material for banner production. ema tracks fulfilment status per entitlement and surfaces outstanding items on the compliance dashboard, so your team can follow up without manually tracking a spreadsheet.
