Buying a Stand

The exhibitor checkout is where you turn a package, a booth or an add-on into an order. You reach it from the event's exhibitor prospectus, from an accepted quote, from a waitlist offer, or from the add-ons and upgrades in your exhibitor portal. It is the same checkout every time, so what you see here applies to all of them.

Where to Find It

Event exhibitor page > Choose a package > Checkout

Your organiser decides who can start a purchase. A public prospectus lets anyone begin, an email-gated one asks for your email first, and an invite-only one starts from the link in your invitation or quote.

Before You Start
  • Know which company is buying. The company you buy for becomes your exhibitor record.
  • If your company is already registered for this event, sign in as someone on its team, or use the contact email the organiser has on file.
  • Have your card ready if you plan to pay by card.

The Steps

A progress bar at the top of the page shows where you are. The steps you see depend on how the organiser set up the event.

StepWhat happens
CartReview the package, add-ons and booths. Remove anything you do not want, and add a promo code if you have one.

Choosing a Booth

The floor plan shows each booth as Available, Reserved, Sold or Selected. When you choose a booth, ema holds it for you for 10 minutes while you carry on, and picking it again extends the timer. A hold shows other visitors that the booth is taken for now, but it is not a guarantee: ema checks availability again when you pay, and if someone else completed their purchase first, the booth is no longer yours. If your booth has gone, go back to the booth step and choose another.

Some events choose to assign booths for you after you have bought, or let you choose from your exhibitor portal. In that case there is no Booth step, and your confirmation page says when you can choose.

Promo Codes

In the cart, choose Have a promo code?, type the code and choose Apply. If the code cannot be used, ema tells you why. A code applies to the lines it covers rather than to the whole total, so the discount shown on the cart is the figure you will pay.

Verifying Your Email

If your company is already registered for this event, only its team, or someone using its contact email, can buy on its behalf. When you are signed in with the contact email but have not verified it, ema shows Verify your email to continue. Choose to send a code, enter the code from your inbox, and your purchase carries on. Events that sign people in through their organisation do not offer this step: ask your team admin to invite you to the exhibitor team first.

Signing the Contract

When the organiser requires a contract, choosing how to pay takes you to the signing page: Contract Signing Required. Once you have signed, you are returned to the checkout to complete payment.

If you close the tab, you have not lost your place. ema emails you the signing link as well. On the checkout page, Email me the link again sends a fresh one, and the previous link then stops working. Sign before the contract expires: an order whose contract lapses is cancelled.

Paying

The payment options you see are the ones the organiser offers for this event: Pay by Card, Pay by Bank Transfer and Pay by Invoice. Card payment charges the amount shown, including any card surcharge the organiser applies, and the form shows the breakdown before you confirm.

If the organiser offers a payment plan for your package, your first instalment is invoiced when you check out. Each later instalment is invoiced and emailed to you automatically on its due date.

If a payment does not complete, the page says Payment Not Completed and your card is not charged. If the page says your session may have expired, check your email for a receipt before starting again, in case the payment did go through.

Do not pay twice after a session timeout

If your session expires during payment, look for a receipt in your inbox before you choose Restart Checkout. Restarting creates a new checkout, and a payment that already went through is not undone by restarting.

After You Buy

Your confirmation page lists your order and what comes next. Your exhibitor portal is ready straight away, with your onboarding tasks and deadlines, and your contract, payment and entitlement status all stay visible on the dashboard. If booth selection comes after purchase, choose your booth from the portal.

Anything your package includes, such as registration passes, is claimed from your portal. See Exhibitor Entitlements.

Check Your Work

  • Your confirmation page shows the right package, add-ons and total.
  • You received the confirmation email, and the signed contract if one was required.
  • Your exhibitor portal opens and shows your company, your booth or when you can choose one, and your tasks.
