Booths and Change Requests

Your booth page shows where your exhibitor company is placed and, when enabled by the organiser, lets you choose or change your booth. Change requests give you a structured way to ask for changes that need organiser approval.

Where to Find It

Me > Exhibitors > [Your company] > Booths or Change Requests

Use Booths to review or select your stand. Use Change Requests when you need organiser approval for a booth, tier, downgrade, cancellation, or entitlement change.

Viewing Your Booth

The booth page can show:

  • Floor plan name.
  • Hall or area.
  • Stand number.
  • Booth title.
  • Booth size.
  • Current assignment.
  • Available booth choices if self-service selection is enabled.

If your event has multiple floor plans, choose the relevant floor plan from the selector.

Selecting a Booth

If the organiser allows self-service booth selection:

  1. Open Booths.
  2. Select the floor plan.
  3. Review booths available to your package.
  4. Choose the booth you want.
  5. Confirm the selection.

Some booths may be unavailable because they are already assigned, reserved, outside your tier, or blocked by the organiser.

Do Not Miss

Check booth size, location, access, and package eligibility before confirming. Changing later may be limited by contracts, payments, floor plan availability, or event deadlines.

When to Submit a Change Request

Submit a change request when you need organiser approval instead of an immediate self-service action.

Common request types:

Self-Service or Change Request?

Use self-service selection when the booth or package option is clearly available and you are ready to confirm. Submit a change request when the organiser needs to review commercial terms, booth availability, deadlines, or cancellation conditions.

Submitting a Change Request

  1. Open Change Requests.
  2. Click New Request.
  3. Choose the request type.
  4. Explain what you want changed and why.
  5. Submit the request.

Write the reason as if the organiser has no other context. For example: "We need to move closer to the loading dock because our booth includes a heavy demo unit" is more useful than "Need better booth".

Tracking Request Status

Your requests appear in Change Requests. Open the list to see whether each request is waiting for review, approved, rejected, or completed.

If a request is rejected, read the organiser's reason before submitting another request.

What They See

The organiser can review your request type, reason, preferred booth or package details, and current status. A specific explanation helps them make a decision without going back and forth by email.

Tips

  • Check deadlines. Booth and cancellation changes are often limited close to the event.
  • Be specific. Include preferred booth numbers, package names, or add-ons when relevant.
  • Do not rely on email alone. If the portal supports change requests, submit the request there so it is tracked.
  • Review contract terms first. Some changes may be governed by the contract you signed.
