Hotel Portal Workspace
Once you've opened an event from the hotel portal, four views cover everything you need day to day: the change feed for bookings awaiting your response, the full rooming list, arrivals and departures for a specific day, and your room allocation.
Hotel Portal > choose an event
The top navigation inside an event switches between Change feed, Rooming list, Arrivals & departures, and Allocations.
Change Feed
The change feed is your daily list of new bookings and changes that need a response — this is the default view when you open an event.
Each entry shows the notification type (New booking, Amended, or Cancelled), when it was sent, the guest's name, and the room, dates, nights, and room count. If your hotel is authorized to see guest contact details or pricing for this event, those appear too — otherwise they're left off entirely rather than shown blank.
For a change to an existing booking, the entry includes a plain-language summary of exactly what changed.
- Select Confirm or Decline on an individual entry.
- Select multiple entries with the checkboxes and choose Acknowledge selected to process several at once.
When there's nothing waiting on you, the feed shows You're all caught up.
The same confirm/decline action is also available as a single-use email link for each notification, so whoever is watching the inbox can respond without signing in. See Getting Access to the Hotel Portal.
Rooming List
The full roster of bookings for your hotel at this event. Filter by a check-in/checkout date range, or clear the filter to see everything.
Each row shows the guest name, room type, number of rooms, check-in and checkout dates, number of nights, and notification status — plus contact details and total price if your hotel is authorized to see them for this event.
Guest contact and pricing columns only appear if your organizer has enabled them for your hotel. If you don't see a column you expect, your organizer has that information marked as hidden from the hotel portal for this event — ask them directly rather than assuming it's missing data.
Arrivals & Departures
A day-of operational view. Pick a date, then switch between the Arrivals tab (guests checking in that day, with their expected arrival time) and the Departures tab (guests checking out, with their expected departure time).
If nothing is arriving or departing on the date you've chosen, the tab shows an empty state instead of a table.
Allocations
Shows your room-type block for the event: how many rooms were allotted per night, how many have been picked up (booked), and how many remain — filtered to a date range you choose.
This is an inventory view, not a guest list — it doesn't show individual bookings, only the totals per room type per night. A night with no block configured shows a dash rather than zero.
Card Guarantees
If a booking was guaranteed with a tokenized card, a Guarantee card column may appear on the rooming list or arrivals view. Selecting the reveal action opens a secure card display hosted directly by the payment provider — your browser loads it straight from the provider, not through ema — showing the full card number so you can key it into your own property management system for a no-show or cancellation charge under your policy.
Each reveal link is valid for 5 minutes and tied to your hotel-contact account. ema records who opened it and when, but the card number itself never passes through ema — it goes straight from the provider to your browser. Treat the display like you would a card handed to you in person: enter it into your PMS and close the window when you're done.
