v1.5.2 — Session Request Setup, Safer Public Report Links & Registration Corrections

Released: 2026-10-19 | Version: v1.5.2

What Changed For Your Team

This release has three themes. Programme teams can start preparing session requests, an optional module for the kinds of sessions other teams may ask you to host. Teams that share reports outside the organisation get clearer, stricter public links, and visitors can download an Excel copy where the link's creator is allowed to export. Registration and finance teams get a broad set of corrections to totals, credits, refunds, waitlists, transfers and group cancellations.

Session requests are setup only in this release. Nothing is offered to requesters, and no one is notified, until later work ships. Projects do not gain the module by default.

v1.5.2 is cumulative. It includes everything in the v1.5.1 notes and earlier releases.

Highlights

Prepare Session Request Types and Intake Settings

With the Session Requests module enabled for a project, you can prepare request types such as Workshop, Symposium or Committee meeting, put them in order, and choose defaults like duration, session format, allocation type, request form and room-hire product. Intake settings cover opening and closing times, an introduction, terms, notification addresses, quote validity and a reference prefix.

Enabling the module creates six starter types once. Turning it off and on again keeps your existing configuration, so settings and changes your team has made are preserved. People with read-only access can inspect the setup but not change it. If the project's event timezone is not yet confirmed, you can still edit text settings, but date fields stay unavailable until it is confirmed.

Saving this setup does not open a requester form, send a quote or notify anyone. See Session Request Setup and Project Modules.

Share Reports Publicly with Clearer Rules, and Download Excel

Public links for registration lists and summaries now require a passcode of at least eight characters, and the share dialog explains why. Passcodes are checked before a protected link reveals its expiry, and leading or trailing spaces are ignored. Generic reports that contain internal-only data can be shared once you add a passcode.

Each time a link is opened, ema rechecks that its creator still holds the permissions the link needs. If you are missing a permission, the share dialog lists exactly which ones, so you can ask an administrator rather than guess. When the creator holds export permission, visitors see Download Excel on the public report page, and any failure appears next to the report. Revoking a link, its expiry and its passcode work as before.

See Report Sharing and Scheduled Delivery.

Report Totals That Match Across Screens and Exports

Operational registration totals and their exports now consistently count active registrations along with their proven financial shares. Required report inputs are collected before a report runs, and the download uses the same values you applied on screen. Cancelled-registration reports accept properly evidenced approved refunds. See Report Builder.

Detailed Changes

Session Requests and Programme

  • Request types can be reordered with Order all request types, which orders every type including inactive and private ones. If someone changes the list at the same time, refresh and try again; a rejected reorder leaves the order intact.
  • Types can be retired by turning off Active; deleting types is not available.
  • Request submission, review, quoting and conversion into scheduled sessions are not available yet.
  • Reports that group by programme custom fields now group date-time values by the event clock, or the accounting clock where that applies, and keep calendar-only dates as dates. Each record is counted once per selected option, and raw reports retain local times. Project fields are discovered using your existing report permissions and field visibility.
  • Registration reports can be shared externally with the existing expiry, passcode and revoke controls.
  • Generic public links that carry no passcode need only Report Sharing: Can create and Reports: Can create, so default Editor and Manager project roles keep working. Links with a passcode, and all registration links, also need Reports: Can execute and Reports: Can export.
  • The public report page keeps its day picker visible if a chosen day is invalid and shows the error beside it. The visitor's passcode is no longer sent in the link's address.
  • The share dialog suggests sending the passcode through a different channel from the link, for example by text message when the link is emailed.
  • Share dialogs and report delivery settings no longer clip their controls, and delivery timing and recipients are easier to review. Where you have directory access, you can find projects and organisations by name.

Forms and Custom Fields

  • Editing forms and custom fields can no longer introduce choices the field does not support, and rejected answers explain the problem rather than blaming your connection.
  • Long custom-field option lists are easier to read and edit on desktop and mobile. See Custom Fields.

Email Templates

  • When you add a link to a Text block, the merge-tag picker is now available for the link's address, as it already is for buttons and images, so you can link to an event destination without typing it.
  • Reopening a Text block no longer splits a sentence containing a link into separate paragraphs, so links stay inside their paragraph in the email that is sent. See Email Builder.

Payments, Refunds and Credit Notes

  • Discarded refunds no longer offer a processing action and cannot be submitted for processing. See Refunds.
  • Related financial documents show readable references and clearly separated amounts on desktop and narrow screens.
  • Payment schedules with many instalments keep the allocation summary and actions in view while you edit. See Payment Plans.
  • Credit notes issued as a lump sum on a registration invoice are now spread across the invoice's lines, so later changes or cancellation of that registration are no longer blocked by an earlier credit. The credit note dialog explains this.
  • Credits on invoices that include a card surcharge now calculate tax within what each line has left, so reinstating a cancelled registration that kept a fee, or cancelling and keeping the amount as credit, no longer fails on those invoices.

Registration, Waitlists, Transfers and Groups

  • Staff can now handle a free downgrade, toggle staff alert notifications, and force-promote from a waitlist; group re-pricing, cancelling a rescheduled registration and add-ons during transfers received corrections. See Waitlist and Change Requests and Transfers.
  • Resuming an accepted waitlist offer now uses the offer's registration type even if the browser last had a different type selected, so checkout can continue.
  • A second review of a transfer with untouched holdings no longer shows a validation error. Untouched holdings are kept as they were on the first review.
  • On a group roster, captains can open their own registration without a false not-found page, and staff can confirm the intended attendee and the duplicate-member choice before adding a seat. See Group Registrations.
  • If the server does not answer while you cancel a large group, the dialog says that nothing was changed (for a review) or that the outcome may or may not have been recorded (for a commit), and offers a retry or an outcome check instead of raw browser text.
  • The staff alert Save button no longer moves while you tick recipient roles.

Rooms

  • Room layouts can be saved without scrolling back to the actions. See Rooms and Layouts.

What You Need to Do

No action is required for existing events to keep working. Review these items if they apply to you:

  • Public report links: registration lists and summaries now need a passcode. Existing registration links created without one no longer return data, so revoke them and create protected links. Do the same for any shared report that has gained internal-only data, and share the new passcode through a different channel from the link.
  • Link creators: if someone cannot create a link, check that they hold the permissions listed in the share dialog.
  • Session requests: only enable the module if you want to prepare request types now. Review the six starter types, order them, and confirm the project's event timezone before setting dates.
  • Reports you rely on: compare saved registration reports and exports against the corrected totals, and review programme-field reports that group by date or time.
  • Email templates: open Text blocks that contain links and confirm they read as one paragraph.

Additional Improvements and Fixes

  • Credit-note and refund handling on part-paid instalments received further corrections.
  • Money cells in the live report preview use the correct currency format.
  • Add-ons that other add-ons depend on can no longer be removed, and ineligible carried-over add-ons are named during review.
