v1.6.0 — Signable Proposals, Programme Custom Fields, Technical Requirements & Attendee Favourites
Released: 2026-10-25 | Version: v1.6.0
What Changed For Your Team
This release closes the loop between selling, planning and running an event. Sales teams can send a proposal that the buyer signs to accept, and the signature wins the deal. Programme teams can now carry custom fields and private technical requirements on talks, sessions and speakers, let speakers maintain the details you open to them, share chosen fields with attendees, and import them in bulk.
Attendees get Talks and ePosters browsing, favourites throughout the event site and app, and a fuller My Pass. Registration teams get a smoother group-attendee flow with add-ons, plus another round of corrections to cancellations, group offers, card payments and waitlists. Across the product, forms, dialogs and confirmations are more forgiving: failed saves keep your input, and more controls work from the keyboard and on touch screens.
Whether the mobile app or a venue appliance has received the updates described here depends on the app or appliance release and your event's rollout; a hosted release alone does not confirm it.
Highlights
Send Proposals the Buyer Signs to Accept
From an opportunity, sales can compose a proposal that combines an optional cover deck, the quote's commercial pages and an acceptance page with one tick box per pricing option, all in a single signing session. When the buyer ticks an option and signs, the signature accepts the quote, the opportunity is won, and conversion is unblocked.
Proposals are versioned and use each company's branding. Sending a revision withdraws the live round and notifies its signers. Contracts gain an Option field type (one choice per group), and contract templates gain a Proposal Acceptance Page document type. See Proposals, Quotes and Opportunities.
Programme Custom Fields for Speakers, Attendees and Imports
Talk, session and speaker details your team has made editable can now be maintained by the people they belong to:
- Speakers can edit the talk and speaker details you expose to them, read instructions for their assigned sessions, and keep unsaved work through refreshes, pending saves and recoverable failures. Private organiser fields stay hidden from them.
- Attendees can read extra programme information such as CPD points, language and audience level on published event pages and in the mobile app. You choose, for supported fields, whether they are shared publicly or only in the app.
- Programme teams can import Session and Speaker custom fields alongside Talk fields. Imported changes record their source and the person who made them, and a row with invalid values or lost permissions is not partly written.
- The AI assistant can answer questions about public custom fields on talks, speakers and sessions. Organisers see the fields their permissions allow; private fields are not available to attendee tools or search.
See Talks, Sessions, Speaker Management, Import Wizard and Public Schedule.
Private Technical Requirements for Talks and Sessions
Record production instructions such as "two handheld microphones" or "lectern monitor" on a talk or session. The latest editor and update time are kept with the note. In the Talks list you can filter by Has requirements or No requirements, search the text, and export the filtered rows for a production handover.
Speakers can keep their own equipment and setup instructions current alongside their talk documents until editing closes, and session participants can read the organiser's saved requirements. Unrelated people, the public programme and the event app cannot retrieve these private notes, and organisers keep access after speaker deadlines. See Talks, Talk Documents and Talk Content.
Browse Talks and ePosters, and Keep Favourites Everywhere
Attendees can browse Talks and ePosters on the event website and in the app, subject to your event's availability settings. Favourites now work across the event site and app, with only my favourites filters and a fuller My Pass. Attendee-facing text on the event website is now translated.
See Browse Talks and ePosters, Favourites and My Pass.
Group Attendees Can Choose Add-ons Straight Away
Group attendees who complete their own details, whether by claiming a placeholder or through the seat-form email, can choose workshops and social functions immediately, including add-ons unlocked by their answers. Captains filling in an attendee's form can buy the add-ons those answers unlock, and approval-form answers now reach approvers. See Group Registrations and Approval Workflows.
Detailed Changes
Sales and CRM
- Proposal PDFs rotate placed pages and objects about their centre, matching what you see in the designer.
- A round of pipeline, custom-field, quote, import and report corrections followed CRM and quoting acceptance testing. See Opportunities, Quotes and CRM Reports.
Programme and Schedule
- Authorised administrators can edit a session request's details and requirements. Permissions, quote restrictions and effective-reference checks still apply, and equivalent saves preserve existing evidence. See Session Requests.
- Speaker pages and programme custom fields respect the permissions of whoever is viewing them, and private reference labels stay protected if permissions or ownership change.
Registration
- Cancellations, group offers, 3-D Secure card payments and waitlists received further corrections from event-training reviews, as did card-gateway handling, lump-sum credits, holds for pending changes and portal screens.
- Turning Require approval off on a registration type no longer blocks registrations for that type.
- Eligible registration options refresh from the attendee's saved answers rather than from a response that started before the save.
- Exhibitor checkout keeps selected products on one cart when it is created during a page render.
- Registration reports now keep unallocated refunds separate from revenue-by-type adjustments. See Refunds.
Reports
- Project Editors and Managers can revoke the public report links they created.
- People whose access comes from a project role can run, export and share that project's reports.
- Passcode-protected report links lock for 15 minutes after 10 wrong passcodes.
See Report Sharing and Scheduled Delivery.
Invitations and Access
- Invitation handling covers switching between accounts, an administrator unlinking an account, access that comes only from a project role, and email-address casing. Matching of email addresses is now case-insensitive.
Real-time Features
- Task updates are no longer delivered a second time to the person who made them.
- Live Q&A and poll subscriptions now require the viewer to have project read access.
AI Assistant
- AI features that previously used Claude Haiku 4.5 now use Claude Haiku 5.5. Saved settings that referred to Haiku 4.5 open and save as Haiku 5.5.
Brand
- Product surfaces were refreshed with the updated hey ema brand.
Readability and Accessibility
- Related records are identified by readable names, with the full reference available where permitted. Restricted or missing records show a clear fallback without exposing more of the directory.
- Long filenames, policy and workflow names, review reasons, failure messages, financial warnings and notification text are readable on desktop and phones, and inspectable without hover.
- Compact controls, icon buttons and menus identify their action and target. Comment, task, support, form, floor-plan, chat, attachment and session actions stay discoverable on touch devices and keyboards.
- Keyboard users can format email replies, open related records, select bank matches, reorder questions and blocks, resize panels and columns, add fields, react to posts, operate Outlook disclosures and mention suggestions, and use session Notes and theatre mode.
- The speaker directory lets you choose every organisation and expertise filter available.
Forms, Dialogs and Recovery
- Forms and dialogs stay open while saving. Rejected or failed saves keep your drafts, reasons and selections, show visible error feedback, and offer an explicit retry without re-entering anything.
- Destructive confirmations show the affected record, cannot be submitted twice while pending, and stay open for retry on failure.
- Task, timesheet and comment drafts survive failed saves; collapsing a task section preserves open editors; a video upload retry reuses the video already created; inline edits have Save and Cancel controls; photo removal works without hover.
- Copy actions show confirmed success or visible recovery guidance, and read failures show a retry instead of empty results or missing-record messages.
- Talk and session bulk actions keep completion feedback during refreshes and clear their selection after a successful edit.
- Unavailable exhibitor booking is no longer presented as a working action.
What You Need to Do
No action is required for existing events to keep working. To use the new capabilities:
- Proposals: if your team sells through ema, review your contract templates and company branding before sending your first proposal, and check that the people who send proposals can send quotes and create and send contracts. See Proposals.
- Programme custom fields: decide which fields speakers may edit and which are shared publicly or only in the app. Fields that remain private are not shown to attendees or speakers.
- Technical requirements: if your team keeps production notes elsewhere, consider moving them onto talks and sessions so they sit with the programme.
- Talks, ePosters and favourites: check that the Programme & Submissions module and the Posters switch are set the way you want, because they control which links attendees see. See Browse Talks and ePosters.
- Public report links: if you share reports publicly, review which links should still be live. The people who created them can now revoke them.
- AI model settings: if anyone on your team pinned Claude Haiku 4.5 for an AI task, check the setting. It now opens and saves as Haiku 5.5.
Additional Improvements and Fixes
- Dropdown removals, card actions, waiting-room controls and uploads work as independent keyboard and pointer targets.
- Custom-colour knowledge base tag labels remain readable, and custom-field tabs expose correctly labelled panels to assistive technology.
- Task custom-field edits keep refused drafts and ignore unchanged or invalid numeric input.
- Session favourites work independently of session navigation, and allocation and venue cards respond to Enter and Space.
- Mobile timeline reservation management is visible and touch-accessible.
- Downloaded details and unsent changes in the app survive the app's cache upgrade.
- Switching Outlook items keeps drafts and request results scoped to the right item.
