v1.7.0 — Session Requests, Programme Decisions, a Fuller CRM & Safer Programme Editing

Released: 2026-10-31 | Version: v1.7.0

What Changed For Your Team

This release gives programme teams more control over how sessions are requested, decided and published, and gives sales teams a much larger CRM.

For programme teams, session requests now run end to end: a request comes in from the event website, is reviewed, quoted and approved, and becomes a scheduled session. Speaker outcomes can be held until the committee is ready and then released in groups. Editing a session is safer, because ema warns you before a shorter session window strands talk slots, and deleted sessions, talks and speakers can be restored. Programme emails can be aimed at precise audiences, and every talk, session and speaker has a History tab.

For sales teams, the CRM adds automations, bookings, duplicate merging, lead assignment and scoring, pipeline hygiene views, sales targets and an Outlook add-in card.

Registration teams get another round of group-registration and payment corrections, and public event pages are tidier and easier to browse.

Whether the mobile app or a venue appliance has received the updates described here depends on the app or appliance release and your event's rollout. A hosted release alone does not confirm it.

Highlights

Session Requests, From Intake to Scheduled Session

Organisers can set up session-request types and products, open and close intake windows, and decide who may edit the setup. Requesters submit a request from the event website and follow it in the Me portal. Your team reviews the request, prepares a quote, and approves it with the room, layout and scheduling details in one workflow. Requesters see a clear history of edits, decisions and cancellations.

Once requests are in, you can view room-by-room function sheets and catering summaries for an event day, export venue and catering details as CSV, and report on requests. See Session Requests and, for requesters, Requesting a Session.

Hold and Release Programme Decisions

Record speaker outcomes privately and release the notifications only when your committee is ready. You can release by decision, track, format, round or selected talks. Abstracts can be routed between ranked tracks, and old scores are not carried into the receiving track's review round.

Reviewing undecided abstracts is also easier, with shared decision forms, poster context, safer bulk actions and criterion exports. See Holding and Releasing Decisions.

Safer Session Placement, Copying and Recovery

When you shorten a session window, ema shows the talk slots that would be stranded and asks you to confirm before anything changes. A session can be copied into an unpublished draft, with its schedule and empty running-order slots if you want them.

Deleted sessions, talks and speakers can be restored. ema explains when related content cannot come back, and presentation files that have already been purged must be uploaded again. See Sessions and Talks.

Programmes Built Around Provisional Talks

You can build a programme around provisional talks without exposing speaker identities that are not yet confirmed. Speakers receive actionable requests to complete their content, and calendar updates reach them when a room changes. See Provisional Talks.

Award Nominations and Private Prize Judging

Collect award nominations once, during submission, then use the saved answers to find and contact eligible speakers. Each prize gets its own panel and criteria, and judges can score before the event or from a phone in the room. Scores and awards are recorded without changing a talk's acceptance or publication. See Award Nominations and Prize Judging.

A Broader CRM

  • Automations: when a deal is won, moves stage, goes quiet or passes its close date, ema can create a task, update a field, notify the team, send an email, post to Slack or call a webhook. You can dry-run a rule against a real record before switching it on, and every run is logged. Four starter rules are provided switched off. See Automations.
  • Duplicates and merging: find contacts and companies entered twice and merge them. Deals, activity, tasks and other links move to the record you keep. A merge is blocked if it would drop a value the merging user cannot see, so someone with access to that field has to do it. See Duplicates and Merging.
  • Lead assignment and scoring: route new leads to reps by round-robin or least-loaded rules, and score them with rules you define. Sales Managers can manage these rules. See Lead Assignment and Lead Scoring.
  • Pipeline hygiene: filters and a dashboard card show stale deals, overdue close dates and deals stuck in a stage. See Pipeline Hygiene.
  • Bookings and the sales chat: booked calls appear in the CRM, where staff can reschedule or edit them. The sales assistant can be placed on your own website as a chat widget. See Bookings, Sales Chat Widget and Sales Setup Guide.
  • Targets and analytics: set sales targets and follow attainment, funnel and pipeline figures. See Sales Targets and CRM Reports.

Detailed Changes

Programme and Schedule

  • Programme emails can be aimed at precise audiences, and the composer opens directly from selected talks. You can personalise the email, choose templates by status, format or track, and send richer submission confirmations. Staff can receive configurable copies and a private broadcast summary. See Broadcasts.
  • Talk, session and speaker pages have History tabs showing programme changes and permitted related emails. You can filter the timeline and export matching history. Private email and administrator details stay restricted. See Programme History.
  • Speakers can confirm that their files arrived, see why a file was rejected, and replace it from the portal or the mobile notice. Organisers can confirm a reminder's audience, add a message and see delivery history. A shared cooldown still applies. See Content Readiness and Talk Documents.
  • Session-request setup now links to production workflows. Crews can read programme custom fields and update technical requirements, including when working offline on a connected onsite server. Session chairs can read production instructions, and private fields are excluded from audience screens. See Technical Requirements and Programme Custom Fields.
  • Polls: poll settings now save, so multi-select, rating scales and numeric ranges work. All poll types can be created, and polls started from a talk or session stay attached to it. Ranking voting is available. See Polls and Q&A.
  • Gamification challenges and multipliers now use the standard action types.

Sales and CRM

  • Deal, company, contact and lead pages are organised into tabs, with files and a comment thread on each record. Emails and meetings show whether they belong to a deal and can be linked to or removed from one.
  • Sales managers can set up sales teams with dated membership. CRM follow-up tasks appear in My Work, and reminders reach the record owner when a task has no assignee.
  • In Outlook, the ema add-in shows who you are emailing or meeting: their company, open deals, recent activity and tasks. From an email or meeting you can log it to a deal, create a contact, lead or deal, add a note or task, move a deal's stage, and file attachments on the deal. Sales Reps and Sales Managers can read emails linked to records they work on, and reps can comment on CRM emails. See Outlook Add-in and Roles and Access.
  • Web-to-lead forms, sequences, enrichment and account health extend the sales programme. See Web to Lead and Sequences.
  • Invoices issued for converted CRM quotes now arrive with a working online payment link, so customers can pay online. Orders left unpayable by the earlier fault are released the next time their invoice is issued or re-raised, and you can then use Send Invoice to email the link.
  • Corrections to approvals, inventory quantities, contract term rewrites and AI timeline scope followed CRM acceptance testing.

Registration and Groups

  • Attendees verify their email before completing a group claim or registration form, then move straight to the available workshops and social functions without another sign-in. On a shared browser, ema prompts the correct attendee to sign in first.
  • Group managers see an explanation when no optional add-ons are available, instead of an apparently unresponsive panel.
  • Group seat emails can be edited, and claim acknowledgements are accurate.
  • Abandoned public group drafts now expire, releasing the capacity they held.
  • Post-checkout group add-member and member add-ons keep the group's access code.
  • Card surcharges are recorded on payments and receipts, and a declined card no longer leaves a customer owing a card fee. Tax-inclusive instalment invoices, stored invoice PDFs and ledger postings show the correct split and paid status. Waitlist offers for several seats keep the optional add-ons the buyer selected.
  • A further round of registration corrections came from event-training reviews, including blocking transfers while an amount is unpaid.

See Group Registrations.

Public Event Pages

  • Event pages for programme, speakers and exhibitors are more consistent and compact. Calendar previews and fixed filter actions keep the schedule usable on small screens.
  • Public event sites lead with the programme, people and event imagery, and the layouts stay editable in the page builder. Organisation pages and attendee guides show published content while drafts remain private.
  • Past events stop showing an expired countdown, and saved legacy custom pages remain readable.
  • A project's theme colours now appear exactly as the organiser saved them.

See Public Event Pages.

Attendee App and Engagement

  • Attendees can report content in the app, and organisers review reports in a moderation queue. See Reporting Content and Content Moderation.
  • Sponsor placements can be shown across the app, web, kiosks and signage. See Sponsor Placements.
  • My CPD shows earned CPD, handles external claims and works across organisations, with matching web and app experiences. See My CPD.
  • Organisers can hide My Portal in the app, and the Agenda gains a Speakers chip.
  • Meetings in the app are polished, with in-app one-code sign-in and an organiser meeting mode.

Availability of app changes depends on the app release your attendees have installed.

Operator Recovery

  • When an onsite command fails, the operator's entries are kept for an explicit retry, and a failed settings read can no longer look like a new configuration.
  • Failed venue and support changes keep their editing context and show recovery controls.
  • Email editing, calendar previews and mobile meeting sidebars handle keyboard, pointer and focus independently.

Accounts and AI

  • Signing out of a platform-primary tenant now ends the hey ema session too.
  • Server-side AI features now work for events on custom domains.

What You Need to Do

No action is required for existing events to keep working. To use the new capabilities:

  • Session requests: decide which request types and products to offer, set your intake window, and choose who can edit the setup before opening requests on the event website. See Session Requests.
  • Decisions: if you want to hold outcomes until the committee has finished, review how you record and release decisions. See Holding and Releasing Decisions.
  • CRM automations: the four starter rules are switched off. Review and dry-run them before enabling any.
  • CRM roles: check which people hold the Sales Manager and Sales Rep roles, because they control access to merging, lead rules and linked emails. See Roles and Access.
  • Converted CRM quotes: if customers could not pay an invoice from a converted quote, re-issue the invoice and use Send Invoice to email the payment link.
  • Group registrations: let group attendees know they will be asked to verify their email before a claim or registration form opens.
  • Sponsor placements and content reporting: if you want to use them, set up the placements and moderation workflow before your event. See Sponsor Placements and Content Moderation.

Additional Improvements and Fixes

  • Dates and times in pickers that search the server now show loading states consistently.
  • Reports and timesheets no longer show error noise for locked timesheet entries or deleted reports.
  • Group rosters no longer raise errors when the accommodation module is disabled.
  • Talk-author credits no longer clear a speaker's country.
  • Attendees using "Subscribe to my agenda" see a clear unavailable message when the calendar feed is not configured, instead of a generic error.
  • Group checkout layout and spacing are tidier.
  • Stopped editor changes cancelling allocation saves.
  • Production capacity and performance improvements were made across the platform.
