v1.8.0 — CRM Automations & Email Templates, Wallet Passes, Room Operations and Certificates
Released: 2026-11-04 | Version: v1.8.0
What Changed For Your Team
This release extends the CRM, gives attendees wallet passes that stay up to date, and gives programme teams more tools for running rooms on the day.
Sales teams get automations that react to many more events (a lead being assigned, a score changing, a meeting being booked, a form being submitted, a sequence reply, a sales target being reached) and that can now run on contacts and companies as well as deals. Every email your CRM sends, from team notifications to meeting booking, quote and contract signing emails, can be customised once, for the whole CRM, under CRM > Email Templates.
Registration teams can offer Apple Wallet and Google Wallet passes from the confirmation email, My Pass or the app. A pass updates when the registration or the event changes, and is voided if the registration is cancelled, transferred or reassigned.
Programme teams can run rooms with recorded outcomes, headcounts, shared timers and chair notes, brief chairs privately, build publications, and issue contribution certificates for presenters, chairs, poster presenters and reviewers. Live room displays can follow the talk currently being presented.
Admins also get a safer way to deal with accidental duplicate accounts: correcting a mistyped email now updates the existing account instead of creating a second one.
Whether the mobile app or a venue appliance has received the updates described here depends on the app or appliance release and your event's rollout. A hosted release alone does not confirm it.
Highlights
CRM Automations React to More Events
Automations can now start from lead assignment, score changes, booked meetings, form submissions, sequence replies and completions, and sales-target attainment. They can also run on contacts and companies, not only deals.
New actions can tag records, enrol contacts in a sequence or remove them from one, route a lead through your assignment rules, log an activity, and update related records. For example, when a web-to-lead form is submitted by a lead from a priority country, an automation can tag the lead, assign it to the right rep and enrol the contact in your welcome sequence.
The dry run now previews more of what would happen, including writes that would be refused and assignments that depend on earlier writes in the same rule, so you can check a rule against a real record before switching it on. See Automations.
CRM-Wide Email Templates
CRM > Email Templates now holds every email your CRM and sales work sends: notifications to your team, meeting booking emails, quote emails and contract signing emails. Each has a ready-made default you can customise once for the whole CRM, using the same visual email builder used elsewhere in ema.
- Meeting types pick their booking emails from these templates.
- An event's commerce settings can still choose its own quote emails for that event.
- CRM and sales emails no longer appear on the organisation or project email template pages. Existing organisation-level customisations are moved to CRM > Email Templates automatically.
- The built-in emails now read correctly whoever receives them and name the deal, lead, quote, contact, company or sales target they are about.
- Anyone who writes sequences can keep a library of plain-text templates and fill a sequence step from one.
See CRM Email Templates and Sequences.
Wallet Passes That Install, Update and Void Correctly
Attendees can add their event pass to Apple Wallet or Google Wallet straight from their confirmation email, My Pass or the app. The pass updates itself when their registration or the event changes. If a registration is cancelled, transferred or reassigned, the pass is voided on the attendee's phone, and organisers can allow a reissue after an admin void.
Organisers can upload a wallet pass logo and banner and see a live Apple Wallet and Google Wallet preview while designing the pass. Events without a custom logo now carry hey ema branding instead of a blank icon. Passes expire the day after the event, so past events stop showing as current tickets. You can add the new Wallet pass panel to any registration email template.
See Wallet Passes and Notifications and Wallet Passes.
Running the Room: Operations, Presenter Modes and Chair Briefs
Programme teams can run a room with explicit outcomes, headcounts, shared timers, chair notes and scoped alerts, and collect each presenter's delivery requirements while keeping organiser corrections and deadlines visible. Private notes stay out of audience-facing outputs.
Assigned chairs can receive current private briefs on web and mobile, with an explicit recipient confirmation before any email is sent. See Programme Operations, Staff Operations and Chair Briefs.
Publications and Contribution Certificates
- Publications: build reusable publications from organisation templates. Generated files are retained independently of later draft changes, and project edits do not alter the template. See Publications.
- Contribution certificates: recognise earned programme contributions separately from attendance and CPD credit. Review recipients and any refusal reasons before issuing, then track generation and any explicit corrections. Contributors can download their current certificate and share a verification link. See Participation Certificates.
Live Room Displays and Post-Event Retention
Signage can follow the talk currently being presented in a room, show its timer and the next scheduled item, and fall back to the published schedule when live information is unavailable. See Live Room State.
Content retention adds post-event cleanup. Before you enable permanent cleanup, ema previews the affected files, the storage size and the event-local dates. Legal holds, document history and independently retained compiled presentations are preserved, and you can follow cleanup progress, including any physical cleanup that needs recovery. See Content Retention.
Detailed Changes
CRM and Sales
- Leads have a country. It can be set on forms, through web-to-lead and import, and used in lead assignment rules. See Web to Lead and Lead Assignment.
- Duplicate detection and lead scoring do less work on large CRMs, and a lead whose assignment never ran is reliably picked up again.
- Stage velocity reporting can include deal history from before stage tracking began, once ema has run a one-off backfill for your CRM. Contact ema support if you want older deals included.
- ema staff can host calls, take sales handoffs and join sales teams.
- Opening the discussion on an email that is not filed under a project or linked to a CRM record shows a clear message instead of an error.
- Saving an opportunity's custom fields without changing them no longer triggers "updated" automation rules.
- Microsoft 365 can be connected in one click, and call booking now asks for calendar read and write access. See Microsoft Graph.
- The ema Outlook add-in has been updated to meet Microsoft AppSource package validation. See Outlook Add-in.
Programme, Prep Stations and Onsite
- Prep-station presentations can be edited and recovered without losing unfinished work or silently replacing a newer deck. Presenters can ask the prep team for help and follow acknowledgement at the station, and prep stations can be arranged and monitored with keyboard controls and read-only chair views. See Cockpit and Speaker Prep and Prep Station.
- Programme state is preserved through appliance outages.
- Badge scans and QR previews release only the attendee data the attendee has consented to share.
- Mobile push notifications are delivered and every notification tap opens the right screen. Admins can also target push notifications.
- Public session cards show the session description as plain text.
- Schedule edits no longer get held up by the automatic closeout of finished sessions.
Registration
- Staff changes to a registration that leave money owing wait until the difference is paid.
- A settled order's confirmation now honours a switched-off receipt email.
- Full registration lists can show an optional Yes/No column for each add-on.
- Segments with exclude rules and half-filled filter rows can be previewed and saved, and the builder shows readable validation messages when input is rejected. See Segments.
- The upsell expiry calendar opens on the first selectable month.
Accounts and Identity
- Correcting a delegate's mistyped email updates their existing account instead of silently creating a second one, and registration asks the delegate to confirm their email.
- Admins can Delete user on a duplicate account. The account is hidden and blocked from signing in, nothing is erased, and it can be restored. Check the warning in the dialog first, because a deleted person loses sign-in access to every registration they hold. See User Management.
- Moving a seat to someone who already has an account links it to that account, and a deleted account is brought back rather than duplicated.
Reports and Assistant
- Report builders can author filtered or aggregated columns on raw report data.
- The AI chat widget takes its title bar and welcome subtitle from the widget's branding settings.
What You Need to Do
No action is required for existing events to keep working. To use the new capabilities:
- CRM email templates: review CRM > Email Templates. Organisation-level customisations of CRM and sales emails were moved there automatically, and those emails no longer appear on organisation or project template pages. Check that meeting types point at the booking emails you expect. See CRM Email Templates.
- CRM automations: if you already have rules, review them against the new triggers and dry-run any change before enabling it. See Automations.
- Wallet passes: if you want attendees to find their pass in confirmation emails, add the Wallet pass panel to your registration email templates, and upload a logo and banner under Wallet Passes. See Wallet Passes.
- Content retention: review the preview of affected files and dates before enabling permanent cleanup, because cleanup cannot be undone. See Content Retention.
- Duplicate accounts: if you have known duplicate user accounts, review them before deleting, and note that deleting an attendee or payer blocks their sign-in. See User Management.
Additional Improvements and Fixes
- Checkout, cart and registration pages do less repeated work, so busy registration periods should feel faster.
- Event and mobile screens that refresh frequently load more quickly.
- Changes to the mobile app and venue appliances reach devices only with the matching app or appliance release.
