Getting Started as an Exhibitor

Welcome to ema. As an exhibitor, you have a dedicated portal to manage your company profile, booth details, team members, tasks, entitlements, contracts, leads, and deadlines. This guide helps you get oriented quickly so your event presence is ready before attendees start browsing.

Where to Find It

Invitation email > Exhibitor portal

Use the invitation link from your event organiser to create your account or sign in. After signing in, open Me > Exhibitors and choose your exhibitor company.

Your First 15 Minutes

Signing In

You'll receive an email invitation from the event organizer. Click the link and enter the 6-digit code from that email to accept your invitation and sign in — there's no password to set. On later visits you sign in with a fresh emailed code. See Signing in and account access for the full detail.

Your First Task: Complete Your Profile

Before You Start

Have your company logo, short company description, website, primary contact details, and any organiser-requested documents ready before you start. This makes the first setup pass much quicker.

Step 1 - Open your profile

From the portal dashboard, click Edit Profile or navigate to the Profile section.

Step 2 - Fill in company details

Add your company name, description, logo, website, and contact information. This is what attendees will see.

Step 3 - Review required work

Open Tasks and Checklists for any documents, forms, acknowledgements, or setup actions the organiser requires. Each item shows its deadline and current status.

Check Your Package

Open Entitlements to see what your package includes. This is where you can confirm staff passes, meeting slots, booth services, sponsored placements, and other benefits. If you need more than your package includes, check Add-ons or Upgrade if those tabs are available.

Need More Than Your Package Includes?

Use Add-ons when you only need one extra benefit, such as another staff pass or meeting slot. Use Upgrade when a higher package would better match your overall presence at the event.

Review Quotes and Contracts

Quotes arrive by email from the organiser. Open the quote link to review the package, optional items, discounts, attachments, and total before accepting.

Contracts where you are a signer appear under Me > My Contracts. From there, request a signing link, review attachments, and complete your required fields.

Confirm Your Booth

Open Booths to view your assigned stand and floor plan. If booth selection or change requests are enabled, use the portal to choose an eligible booth or request a change.

Do Not Miss

Check your booth before ordering signage, furniture, freight, or electrical services. Booth changes may affect what you can bring onsite and which deadlines apply.
